Data Processing Statement
In order to manage and operate the club effectively we need to collect, store and use some personal information about members. By becoming a member, you agree that information about you can be processed in this way.
The club is committed to protecting the privacy of its members.
Personal information is provided by you as a member and is held electronically in a membership database. We use the Membermojo online membership management system to store membership details and administer the club’s membership process. We also use Membermojo to send emails (e.g. notices, reminders, safety information) to the membership on behalf of the club. Our Membermojo system is managed by the Membership Secretary and full access is not granted either to other committee members or to anyone else in the club.
The Membership Secretary may pass name, contact, and rating(s) details of individual members to the Chief Coach, for the purpose of managing and operating the club’s coaching activities. These details and notes about members’ skills and progress may subsequently be stored by, and shared between, club coaches as part of the coaching process.
Details of individual members may be shared with other committee members (e.g. Chief Coach, Safety Officer, Competitions Secretary) on reasonable request, when required to carry out their duties.
Members’ details will not be shared outside the club except for the following specific instances:
• An annual extract of club membership details (BHPA Number, first name, last name, postcode) required by BHPA from affiliated clubs.
• There may be exceptional emergency or safety circumstances in which we may decide to share details.
You can ask to see the information we hold about you at any time by contacting the club Membership Secretary Turn on JavaScript! . It is in members’ interest that contact details are kept up to date; members can contact the Membership Secretary or can log in to their Membermojo Member Page at any time to view and update their details.
Details of members who do not renew their membership will be removed from the membership database after 9 months but will be stored in an archive for a further 24 months, after which they will be deleted.
Club Sites Officers manage communications with the people who own or manage the land relating to the Club’s flying sites. Sites Officers hold and maintain contact information for these people, which is only used for this purpose and is not shared with anyone else.
